Sales Assistant

Summary: Are you a reader who is interested in beginning a publishing career? Are you interested in sharing seriously entertaining books with readers domestically and abroad?!

If so, Quirk Books is seeking an organized and curious Sales Assistant. As a member of our Sales, Marketing, and Publicity group, this entry-level role reports to the Senior Sales Manager, supporting the sales and subrights strategies of Quirk’s engaging and unconventional list.

 

Responsibilities:

  • Assist with execution of sales strategies for Quirk Books publications and the Quirk brand.
  • Act as a liaison between Quirk’s sales department and Penguin Random House Publisher Services (PRHPS) sales managers and representatives.
  • Communicate the availability of sales materials and digital assets to PRHPS sales managers and sales representatives, as well as international subagents.
  • Prepare data reports tracking daily, weekly, monthly, and yearly sales unit and income information.
  • Assist with the preparation of title information sheets, presentation decks, sell sheets, retail marketing assets, and other materials on a seasonal basis.
  • Research new marketplace opportunities, retail and consumer trends, and competitive titles.
  • Participate in the metadata management process on a by-title basis.
  • Update and maintain Quirk’s sales databases.
  • Update and maintain Quirk’s Edelweiss collections and specialized digital catalogs.
  • Assist in digital filing and maintenance of sales and subrights files in Google Drive.
  • Provide clerical and administrative support for tasks such as mailings, data entry, and processing invoices.
  • Provide general support for Sales and Subrights on an as-needed basis, including on special projects.

Finance Manager

Summary: Quirk Books is seeking an organized, detail-oriented, and self-motivated Finance Manager. This individual will be responsible for liaising with an external finance contractor and key internal stakeholders on accounts payable, accounts receivable, budgeting, reporting, and P&Ls; assisting with reconciliation between accounting and royalties systems; assisting with the royalties process; and managing the human resources onboarding of new hires.

This role requires 3+ years of experience and reports to the President and Publisher.

 

Responsibilities:

  • Manage annual budgeting process with President
  • Build Excel reports and provide analysis to support executive strategy and decision-making
  • Collaborate on P&Ls process from contracts stage to post-mortem review
  • Manage onboarding paperwork and ensure new hires are added to payroll system
  • Reconcile royalties database against accounting database for inbound payments
  • Review all reporting from finance contractor and advise Chairman, President and Publisher, and Deputy Publisher on next steps as needed
  • Send out prepared royalty statements
  • Make cash and check deposits as needed
  • Manage all finance-related digital filing systems

 

Requirements:

  • Three years of experience working in a finance or accounting department; publishing experience strongly preferred
  • Detail oriented with excellent organizational skills
  • Clear and proactive communicator
  • Creative problem-solver
  • Adaptable as priorities shift
  • Expert skills in Excel a must
  • Experience with Biblio strongly preferred
  • Experience with Quickbooks preferred
  • Familiarity with Google Workspace, and Asana are a plus but not required

 

Location: This position is based in Philadelphia, with Thursdays in the office
