Managing Editorial Assistant

Summary: Quirk Books is seeking a Managing Editorial Assistant. As a member of the small but mighty Managing Editorial department, you will work closely with editors, designers, and the Sales, Marketing, and Publicity (SMP) department at this dynamic and creative company.

Responsibilities:

  • Assist the Managing Editor in shepherding titles through the editorial, design, and production process.
  • Perform first-pass copyediting of manuscripts, jacket copy, and other types of copy as needed in accordance with house style.
  • Format manuscripts for designers.
  • Proofread first-pass proofs in accordance with house style.
  • Acquire Library of Congress Cataloging-in-Publication data and file copyright claims.
  • Review printer proofs (blues) as needed.
  • Assist with bookmaking and office-related administrative tasks as needed.
  • Provide clerical support to the Managing Editorial department for tasks such as mailings, data entry, maintaining departmental documentation, and processing invoices.

Requirements:

  • Strong interest in grammar, copyediting, and proofreading. Familiarity with the Chicago Manual of Style a plus.
  • Proficient in Microsoft Word, Adobe Acrobat, and Google Workspace. Familiarity with Asana a plus.
  • Receptive to feedback and able to synthesize constructive criticism.
  • Able to collaborate as a member of a team, share responsibilities, and adapt to meet changing and overlapping deadlines.
  • Detail oriented with excellent organizational skills.
  • Intrinsically motivated and committed to producing high-quality work.

Location: This position is based in Philadelphia, with Thursdays in the office.

Finance Manager

Summary: Quirk Books is seeking an organized, detail-oriented, and self-motivated Finance Manager. This individual will be responsible for liaising with an external finance contractor and key internal stakeholders on accounts payable, accounts receivable, budgeting, reporting, and P&Ls; assisting with reconciliation between accounting and royalties systems; assisting with the royalties process; and managing the human resources onboarding of new hires.

This role requires 3+ years of experience and reports to the President and Publisher.

 

Responsibilities:

  • Manage annual budgeting process with President
  • Build Excel reports and provide analysis to support executive strategy and decision-making
  • Collaborate on P&Ls process from contracts stage to post-mortem review
  • Manage onboarding paperwork and ensure new hires are added to payroll system
  • Reconcile royalties database against accounting database for inbound payments
  • Review all reporting from finance contractor and advise Chairman, President and Publisher, and Deputy Publisher on next steps as needed
  • Send out prepared royalty statements
  • Make cash and check deposits as needed
  • Manage all finance-related digital filing systems

 

Requirements:

  • Three years of experience working in a finance or accounting department; publishing experience strongly preferred
  • Detail oriented with excellent organizational skills
  • Clear and proactive communicator
  • Creative problem-solver
  • Adaptable as priorities shift
  • Expert skills in Excel a must
  • Experience with Biblio strongly preferred
  • Experience with Quickbooks preferred
  • Familiarity with Google Workspace, and Asana are a plus but not required

 

Location: This position is based in Philadelphia, with Thursdays in the office

 

Compensation: $50,000-$55,000
